Org. Setting and Reporting

The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. We support programme implementation of the United Nations Environment Programme (UNEP) and the UN Human Settlements Programme (UN-Habitat) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org). This post is located in the English Language Unit of the Translation and Editorial Section of the Division of Conference Services (DCS) – United Nations Office at Nairobi.


Responsibilities
Under the direct supervision of the Chief, English Language Unit, the incumbent will perform the following functions.
1. Produce documents and publications for reproduction, meeting deadlines and maintaining high standards of quality and accuracy.
2. Formats documents ensuring conformity with established United Nations style and specifications.
3. Incorporates changes as marked by the editors. Confers with the editors and responsible officials concerning errors.
4. Performs proofreading functions of reading final copy against earlier versions of the text to ensure that the printed version is a true transcription of the text supplied bringing to the attention of the responsible official any substantive errors committed or overlooked while editing.
5. Transmits edited documents to secretariats located outside the duty station and generally liaises with the responsible official until the document is finalized and is ready for reproduction.
6. Trains short-term staff in the processing of basic and more complex documents.
7. Ensures that meetings serviced overseas are done efficiently and ensures that during such meetings computers are properly set up according to specifications given prior to commencement of meetings.
8. Searches the Internet for reference material for the Editors and files final documents in their electronic form and also enters them into the Integrated Documents Control and Performance Monitoring System (IDCPMS) programme.
9. Performs any other relevant duties as assigned.


Requirements
Competencies
Professionalism – Ability to work independently without supervision; remain calm in stressful situations and when called upon to work long and odd hours. Demonstrates professional competence and mastery of subject matter.
Planning and organizing - Excellent organizational skills so as to programme the workload; identify priority activities and assignments and adjust priorities as required; allocate appropriate amount of time for completing work; use time efficiently.
Technological Awareness - Ability to keep abreast of available technology; understand applicability; actively seek to apply technology to appropriate task; show willingness to learn new technology.
Teamwork - Good interpersonal and communication skills and ability to establish and maintain effective working relations in a multi- cultural ethnic environment with sensitivity and respective to diversity.

Education
Completion of secondary school or its equivalent.

Work Experience
Five years working experience in a similar position. Experience in conference services in the United Nations an advantage. Knowledge of United Nations Staff Rules and Regulations and knowledge of the integrated Document Control Performance Monitoring System (iDCPMS) an added advantage.
Languages

English and French are the two working languages for the United Nations Secretariat. For this post, fluency in English, both written and oral required. Working knowledge of another UN official languages an advantage.

Assessment Method
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Appointment against this post is on a local basis. External candidates will be considered only when no suitable internal candidate from the duty station is identified.
