DUTY STATION: Nairobi

JOB SUMMARY
Under the supervision of the Head of Finance & Administration, the Information Communication & Technology (ICT) Officer will be in charge of planning and providing ICT support to TI Kenya staff members and incorporating ICT in programming. The Officer will ensure that the services are delivered in an effective and efficient manner for maximum access to and implementation of technology services and resources within TI-Kenya.



DUTIES AND RESPONSIBILITIES
IT Strategy Development
  • Support the development and drafting of TOR’s for TI Kenya ICT Steering Committee
  • Assist in the development of an ICT Strategy for TI Kenya mapped into its current and/or 2012 to 2017 Strategy & to TI S strategy
  • Formulate and implement an ICT policy in consultation with F& A Manager
  • Assist in development of IT action plans pegged to TI Kenya’s current and/or 2012 to 2017 Strategy
  • Assist in development of an interactive web based platform for TI Kenya’s activity
ICT support
  • Support the development of TIK Intranet
  • Develop capacity of TI Kenya to use social and emerging media for advocacy and communications work
  • Troubleshoot and diagnose system errors and implement solutions or liaise with specialists for problem resolution
  • Monitor hardware utilization and performance on an oh going basis an identify procurement needs, in consultation with the Procurement Officer
  • Assist in the development of a back-up system and BCP(business continuity planning)
  • Schedule and implement quarterly software and hardware maintenance and review of TI Kenya’s IT/IS needs; also to include co-coordinating repairs in response to hardware failures
  • Implement an approved system security procedures, maintain and update existing network configuration records, provide access to authorized users and conduct periodic tests to confirm compliance
  • Assist the procurement officer in maintaining the equipment portion of the Fixed Assets Register (in terms of acquisition, maintenance and disposal)
  • Maintain the LAN that includes network cabling, routers, switches, video conferencing, data and voice communication lines & WAN for the TI Kenya offices in Nairobi, Eldoret and Mombasa
  • Maintain TI Kenya’s website and enhance security of the WAN & LAN
  • Assist in maintenance of Digital PABX systems, Fax machines, installs telephone lines and IP Phones
  • Database development and management
  • Assist in the Development and maintenance of the TI-Kenya resource centre’s catalogue
  • Assist in Classification and indexing of all information resources received at the TI-Kenya resource centre
  • Accessioning of incoming information resources and provision of reprographic services
  • Ensure ‘e-dissemination’ of ‘Adili’ and any other TI Kenya publication
Training, Administration and Analyses
  • Ensures users are adequately trained on the optimal use of TI Kenya IT infrastructure
  • Provides hands on support to staff where needed for designated network problems that have been reported. Ensures timely and regular feedback is provided to staff during the problem resolution cycle and provides interim solutions as needed.
  • Ensures an up to date documentation of network and telephony equipment maintenance, software upgrades, system configurations and inventory of all networking equipment, cabling and applications. Provides regular documentation and inventory updates to the Finance & Procurement Officer.
  • Analyses the network and telephony systems capabilities to meet the TI Kenya current and anticipated requirements and recommends configurations to meet operational demand. Participates in the preparation and analysis of technical requirements for all network related projects. Researches and recommends on emerging network technologies to meet the needs of TI Kenya
  • Any other duty that may be assigned from time to time by the supervisor
QUALIFICATIONS
  • Degree in Computer Science, Information technology or related field
  • At least 2-4 years in ICT experience
  • Qualification, experience and broad knowledge of WAN, databases and other ICT applications
  • Fluent English (written and oral) required
  • Knowledge in Library Science and added advantage

Job description
DDD Africa is seeking an experienced profession to take up this dynamic leadership position, based in Nairobi. As head of IT in a fast-growing ITES company, your primary role is to ensure that the IT infrastructure and services are contributing to the growth, profitability and efficiency of the company. The core tasks range from ensuring the growth, availability and stability of our internet services, to overseeing the development of software tools for internal services and client projects, to planning and executing IT services for client projects. In addition to high technical competence, this role requires strategic thinking, team leadership and project management. Managing a team of about 10 people, you will report to the head of BPO Operations to ensure the smooth operations of the IT department.
Key partner for operational teams
  • Works with operational teams to anticipate, plan and implement ICT needs for hardware, storage, internet access and software tools.
  • Works with operational teams in spirit of continuous improvement to brainstorm and deliver improvements to software tools and data management that result in higher efficiency of production, higher productivity and higher quality of output.
  • Ensures that the IT department delivers projects on time for internal and external clients, managing staff and consultants as necessary.
IT Infrastructure and Networking
  • Assists in the planning and implementation of additions, deletions and major modifications to the supporting infrastructure company-wide in DDD - Africa.
  • Implements network security at the corporate level as established by Head of Operations of DDD - Africa.
  • Ensures that support for around-the-clock information transfer, storage, and processing is timely, efficient and meets the service levels required.
  • Recognizes necessary network improvements and makes suggestions to Head of Operations of DDD - Africa.
  • Lead the IT Infrastructure and operations functions of network engineering, database administration, systems engineering, and administration in addition to providing the technology foundation for the company’s enterprise business systems and applications
Software Development
  • Should manage the internal software development process and ensure an on-time delivery
  • Ensure that software is developed and supported to address client intentions and needs, for both and external clients.
  • Liaise with Sales in terms of any Software Development projects for pricing, overseeing the project and ensure on time delivery.
  • Proactively introduce new technology solutions for current business problems and keep abreast of new and emerging technologies and their impact on the enterprise architecture
Help Desk Administration
  • Coordinates the resolution of all help desk activities
  • List down Preventive/ Correction action plans for all problems
  • Responsible for all facets of the organizations technology infrastructure, including architecture, capacity planning, administration, operational management, and troubleshooting to ensure the efficient, stable, reliable and secure operations of the organizations technology
Asset Management

Summary of Responsibilities:
Reporting to the Front Office Manager, responsibilities and essential job functions include but are not limited to the following:
  • Consistently offers professional, engaging and friendly service

  • Attend Resume meetings organized by the Catering teams for expected and arriving guests.
  • Ensure that the Three day Window is done for all arrivals to check that all the billing instructions and future reservations are all in order
  • Assist the FPC Co-ordinator with the FPC Arrivals, checking of the VIP rooms prior to arrival as well as ensure that the Loyalty Program enrollments are done
  • Ensure that they are the Up sell champions for the Up sell program for the front office to assist maximize our room revenues.
  • Assist in conducting daily training for the front desk agents.
  • Handle other projects and tasks as assigned by the FOM
Qualifications:
  • Previous experience in a similar position in a Five star hotel an added advantage
  • Diploma in Front Office operations or equivalent
  • Knowlege of Opera system an added advantage
  • Fluency in a foreign language an added advantage
Physical Aspects of Position (include but are not limited to):
  • Constant standing and walking throughout shift
  • Visa Requirements: Candidate must be a Kenyan Citizen.
