Executive Assistant
Our client, a global strategy and communications consultancy firm is looking to hire an Executive Assistant to the Chief Operations Officer. Having a one-on-one working relationship with the COO, the Executive Assistant will serves as the primary point of contact for internal and external matters pertaining to the office of the COO.
KEY RESPONSIBILITIES
Operations Support
  • Monitor progress of operations against deliverables, timelines, and budgets.
  • Attend meetings with and/or on behalf of the COO. Take minutes and action points during the meetings and circulate them to the hub and function heads whilst reporting the same to the COO as required.
  • Ensure that all corporate reports from the respective hub and function heads are received by the COO in a timely manner.
  • Analyse and report on the contents of the corporate reports received and advise the COO on corporate performance.
  • Follow-up on execution of pre-agreed action points by the hub and function heads and report back on the progress of the action execution to the COO.
  • Provide oversight over performance of the hubs’ and functions’ dashboard and balance score cards.
  • Research and prepare analysis and recommendations on assignments as directed by the COO
Calendar Management
  • Manage the COO’s calendar. Make the COO’s daily schedules, prioritize and prepare for upcoming meeting, trips and events.
  • Manage all travel arrangements and provide detailed itineraries.
  • Coordinate all incoming and outgoing calls for/from the COO
Communication Coordination
  • Receive all formal/informal and internal/external communication directed to the COO
  • Manage business planning calendar of the company which includes day-to-day and long-term organization.
  • Update all the COO’s intended recipients on relevant information as directed
REQUIREMENTS
  • A graduate with a Master’s level degree with 3-5 years' experience working as an Executive Assistant to a CEO/COO/CTO in a fast paced organization preferably in a financial/technological consultancy firm
  • Possess numerical and analytical skills with a good understanding of corporate finance
  • Excellent oral and written skills, with well-developed relationship skills
  • Strong work ethic and self-discipline, with high energy and personal drive
  • Personable and presentable with unquestionable integrity

Front Line Manager
Our client, a global security printing, paper making and cash handling systems company, is looking to hire a Front line Manager. The Front Line Manager will be required to lead, control and coordinate the activities of the cells, areas and equipment to ensure that the relevant activities, products or services are planned, processed and delivered to specified standards. They will also be required to champion and facilitate the adoption and integration of lean manufacturing and best practice techniques to secure performance improvements and business unit efficiency whilst supporting the Process Manager in the development of strategic plans for the area.
RESPONSIBILITIES
  • Develop and implement relevant KPI’s to measure the effectiveness of the area of responsibility and ensuring KPI’s are aligned throughout the cells with the requirements of the business, site, internal customers etc.
  • Deliver performance to agreed quality, cost and delivery targets, using relevant Lean Manufacturing Tools and actively drive Continuous Improvement to improve quality and production efficiencies.
  • Ensure the effective communication within their area by cascading information, plans, priorities and providing feedback on KPI’s etc. to cell leaders through team briefs, 1-1’s, visible management systems and MBWA.
  • Develop and implement short and medium term plans for the area which seek to achieve Continuous Improvement through the use of innovative ideas and new technologies.
  • Act as focal point for communication and resolution of issues concerning the area with external and internal customers, suppliers and stakeholders including commercial, sales, technical/R & D departments.
  • Prepare annual departmental operating/capital budgets. Undertake regular reviews to ensure that costs are maintained within budget and all necessary purchasing procedures are followed.
  • Ensure the successful development and use of FMEA’S, Control Plans, SOP’s, Risk Assessments, Work Instructions, data collection & analysis etc., throughout the cells to enable an understanding of process capabilities and continuous improvement. Develop and conduct compliance audits for Risk assessments, Safe Systems of Work and Standard Operating Procedures and Workplace Organisation
  • Develop a preventative and predictive maintenance culture, implementing best practice maintenance regimes and ensuring the principles of asset care are understood and supported within the area.
  • Ensure a safe and healthy workplace including the promotion of the health and safety standards, systems and any relevant initiatives, ensuring that they are understood and applied by all personnel within the section.
  • Always act and behave in a way compliant with all the company guidelines, policies and procedures, especially those relating to HSE and Code of Business Principles.
  • Responsible for the effective selection, training and development of employees in the area including coaching and mentoring of Cell leaders.
  • Ensure all direct reports are appropriately managed and have: current job descriptions; PDRs, SMART objectives linked to business objectives; regular reviews of performance and development needs to enhance performance and capability; motivated and engaged and behave in accordance with the company’s values.
  • To support the behaviour of working as one company, sharing best practice, fostering networks and collaborating with colleagues across the business to resolve issues.
REQUIREMENTS
  • Bachelors’ degree in an engineering field from an accredited institution.
  • Minimum of 3 years’ in depth knowledge and experience:

    • production/technical processes and procedures, particularly with respect to safety, output, quality, security and housekeeping;
    • application of structured problem solving methods; and
    • of HR processes (recruitment, absence management, performance management, grievance handling, disciplinary process management etc.), with the ability to promote good employee relations

Payroll Officer
Our client, a mid-sized growing organization is looking to hire a Payroll Officer. Reporting to the HR Manager, the Payroll Officer will be responsible for administering the payroll and ensuring accurate and timely payment of staff salaries and remittance of statutory deductions. The Payroll Officer will also prepare staff cost Budgets and forecast, trend analysis & reporting, and monitor of all Staff Cost lines. He/she will be highly conversant with creating new employees on the payroll; updating monthly changes, computing statutory and other deductions, computing and updating allowances – particularly overtime, effecting voluntary deductions, remitting statutory deductions as per regulatory guidelines and filing timely submission of payroll related reports/returns in compliance regulatory requirements.
The successful candidate:
  • Must be a graduate with a degree in either human resource management or a numerate discipline such as accounting, management science, etc. from a reputable institution of higher learning. A practicing certificate from the Institute of Human Resource Management will be an added advantage.
  • Must have a minimum of two years’ experience processing a payroll of over 100 employees’ end-to-end using a recognized, licensed payroll system.Working knowledge of managing payments for casuals and seasonal workers will be an advantage.
  • A minimum of 2 years administering benefits including pensions/provident funds, medical schemes, SACCO deductions, loan schemes, etc.
  • Experience with salary surveys will be a significant advantage.

The package for this position starts at KShs 30,000 gross per month plus medical benefits, negotiable depending on capability and demonstrable contribution.
