Job Title: Senior Coordinator MSK Centres
Location:Kenya (Mombasa, Kisumu or Nairobi)
Reporting to:Director Programme Operations
Probationary Period:6 months
Salary:Kshs. 300,000 – 325,000

Marie Stopes Kenya is an NGO registered in Kenya. We are affiliated to Marie Stopes International. Together we deliver safe abortion, quality sexual and reproductive health care and family planning to millions of the world’s poorest and most vulnerable women.
We want to make sure that women have a choice when it comes to having children and that death by unsafe abortion is reduced.
The primary responsibility of this role is to further our Goal: THE PREVENTION OF UNWANTED BIRTHS and its mission of ensuring the individual’s right to: CHILDREN BY CHOICE NOT CHANCE

Key Responsibilities

  • Strategic development of the channel for increased CYPs
  • Business planning and clear performance plans of teams and individuals to meet targets
  • Oversight of the performance of the channel against budget and target and reporting
  • Measures:Increased CYPs 
  • Clear strategy informing all Centres work QTA scores of 90%+Budget/Income performance
  • Strategic development of the channel for increased CYPs

Activities include:

  • In close collaboration with teams develop and/or review SWOT analysis of all aspects of MSKs ability to meet and exceed CYP targets with high quality and within budget
  • Identification of long and medium term objectives to guide the development of on- going delivery and expansion of the work with clear priorities
  • Examination of MSI experience in other places for learning and ideas

Measure:

  • Strategy and plans Targets owned by individual teams and clusters
  • Business planning and clear performance plans of teams and individuals to meet targets

Activities include:
-Ensure that clear personal targets and objectives are set by individual Centre Managers and the clusters to which they belong. Manage performance through regular monitoring against and agreed dashboard
-Ensure mutual commitment to performance of the whole Centres team through use of cluster model to create commitment and accountability
-Intervene on key performance issues (esp. quality) 
-Support and deliver training to ensure consistency in the work activities of the team

Measures:
-Each Centre Manager targets Coordination with Cluster leads/deputies Monthly performance ratings including quality and CYP targets
-Strategic oversight of the performance of the channel against budget and target and reporting
Activities include:
-Regular collation and reporting on progress to clusters, other channels, the department and SMT
-Agree and communicate proposals for action to rectify any performance issues
-Lead discussion on key issues specific to the channel in regard to its place in MSK/MSI’s programming. e.g. competition within the channels; sustainability of the social enterprise model
Measures:
-Reports Occasional papers 

Knowledge Skills and Attitudes
Qualifications:
-Bachelor’s degree in relevant field for example in Medicine, Nursing, Public  Health, Project Management
-Masters degree is desirable Project Cycle management training desirable 
-More than one Kenyan language desirable
-Knowledge of clinical procedures and minimum standards essential

Skills/Experience:
-At least 5 years experience and knowledge of health financing
-Clear ability to identify and set targets
-Budget management
-Excellent understanding of donor contract requirements
-Demonstrated ability in facilitating capacity development in more junior staff
-Excellent communicator to others on key strategic issues

USAID/Kenya’s Health Commodities and Services Management (HCSM) Program is implemented by MSH, to improve health outcomes and impact through sustainable country-led programs and partnerships that address commodity management, pharmaceutical services and policy, and laboratory systems seeks to recruit an office Manager to be based in Kisumu county.

The Office Manager is responsible for supporting the smooth operation of technical efforts and field activities by providing administrative, operational, and logistical support for technical activities in the Western Kenya region.
Specifically, s/he will work as the primary link between HSCM technical staff in the region, the county support coordinators, COMU and Finance Manager for all administrative functions. S/he will be aware of, and adhere to, GOK, MSH and donor (USAID)’s procurement and administrative procedures in all activities.

Key Responsibilities
-Manage and allocate available resources to enable successful performance of project activities and operation of the office.
-Establish and monitor procedures for safeguarding the use of project assets and record keeping. Maintain an updated inventory listing, in line with MSH policies and procedures.
-Keep track, process and submit all project documents, including activity budget requests, TEFs from/to the project staff and to/from Finance and administration.
-Prepare and submit operational reports and schedules to ensure efficiency in project work.
-Coordinate with Nairobi office staff for all logistical and ordering/payments arrangements for implementation of HCSM activities such as travel and activity/ workshop planning, including transportation, hotel/venue booking, catering, printing, equipment rental and when necessary, management of reimbursements. Follow up to verify that the appropriate approvals have been obtained for travel and workshops.
-Co-ordinate schedules, appointments and bookings. Maintain the calendar of project events and key activities.
-Supervise admin/logistics/office support staff working in the office including drivers, office assistants and any other staff engaged on temporary basis
-Maintain a safe and secure working environment in line with the MSH guidelines.
-Ensure seamless coordination with the MSH COMU unit on all management procedures

Qualifications & Experience Needed
-The ideal candidate should have a bachelor’s degree preferably in administration, with a sound knowledge of project or office management and experience in documentation.
-S/he should have at least three (3) years’ experience in providing project and administrative support to donor-funded projects or business or professional firms of good repute.
-S/he should have demonstrated competence to assess priorities and manage a variety of activities in a time-sensitive environment and meet deadlines with attention to detail and quality.
-The ideal candidate should have prior working experience supporting a USG or USAID project.
-Basic knowledge of accounting principles is a must. S/he should have advanced computer skills in MS Office Suite (Word, Excel, Outlook and PowerPoint), along with ability to learn new software packages.
-In addition, S/he should have excellent communication (oral and written), interpersonal, problem solving skills, planning and organizing skills with ability to work independently with minimum supervision. S/he should be a have high level of integrity, able to work under tight timelines and be able to support cross technical teams.
-The candidate should be willing to travel a lot on official duties.

-Service representative roles for their coastal branches.
-The suitable candidate should:
-Be a native of the Coastal region
-Have worked in a similar role or had a front office/call
-Centre role for at least 6 months

-KCSE mean grade C+ (plus), with a C+ (plus) in both Mathematics and English

Role entails but not limited to;
-Accurately and efficiently make cash payments in a way that maximizes customer satisfaction, meeting daily transaction targets
-Preparing cash for repatriation
-Balance currency, coin, and cheques in cash drawers and calculate daily transactions
-Cash cheques and pay out money after verifying that signatures are correct, that written and numerical amounts agree, and that accounts have sufficient funds.
-Receive cheques and cash for deposit, verify amounts and authenticity of currency, and check accuracy of deposit slips. Examine cheques for endorsements and to verify other information such as dates, bank names, identification of the persons receiving payments and the legality of the documents.
-Post customers' transactions in order to record transactions and issue duly stamped receipts for the same and ensure daily balancing
-Arrange monies received in cash boxes and coin dispensers according to denomination.
-Batching together all entries and filing them.
-Ensuring at close of the day the cash tallies to the system balances.
-Cross-selling
-Receiving of outward and in-house cheques
